About the Role:
Aedo Properties — a rapidly growing company specializing in real estate investment and the development of multi-family rental properties — is looking for an outgoing, self-sufficient, Administrative Assistant to help manage its rental operations. Key Responsibilities:
✅ Tenant Relations & Leasing:
- Manage tenant communications, respond to inquiries, and resolve issues independently.
- Handle leasing from start to finish: marketing units, showing apartments, screening tenants, and executing leases.
- Enforce lease terms, issue rent increase notices, and process evictions when necessary.
- Use sales and negotiation skills to fill vacancies quickly to optimize rental income.
✅ Rent Collection & Financial Oversight:
- Collect and track rent payments, follow up on late payments, and enforce lease terms.
- Provide regular reports on rental income, vacancies, and financial performance.
✅ Maintenance Coordination & Property Oversight:
- Track maintenance requests, repairs, and contractor work.
- Conduct regular property inspections and ensure fire alarm testing is scheduled.
✅ Compliance & Documentation:
- Maintain accurate tenant records, lease agreements, and legal paperwork.
- Ensure compliance with rental laws, building codes, and safety regulations.
- Prepare and issue legal notices, including lease renewals and evictions.
✅ Marketing and Communications (training will be provided):
- Monitoring and responding to business email
- Website updates
- Advertising apartments on Facebook marketplace/social media
- Advertising for Aedo properties business lines:
- Dumpster bins
- Rental equipment
- Renovations
- Property maintenance
- Property Management
What We’re Looking For:
✅ Self-Sufficient & Proactive – You must be able to work independently and problem-solve with limited oversight.
✅ Quick Learner & Adaptable – The company is growing rapidly, and we need someone who is a quick learner and who can take on multiple administrative responsibilities.
✅ Strong Organization & Multitasking Skills – You will be handling leasing, maintenance coordination, financials, and tenant relations all at the same time.
✅ Sales & Negotiation Experience (Preferred) – Ability to lease units efficiently to maximize rental income.
✅ Patience & Professionalism – Handle tenant relations calmly while enforcing lease terms firmly when needed.
✅ Tech-Savvy – Comfortable using property management software, email, and digital tools to streamline operations.
✅ Basic Maintenance Knowledge (Required) – You must be able to identify and document common maintenance issues (e.g., plumbing leaks, electrical issues, minor repairs) and work with Aedo staff to ensure issues are addressed.
✅ Availability to be On-call – Rotate On-call with team. Must be reachable for urgent tenant or property issues outside regular hours when On-call.
✅ G Driver’s License & Reliable Transportation – You will need a valid G driver’s license and access to a personal vehicle for property visits and inspections.
